Job Context: Company is seeking an Executive Personal Assistant to manage and support the director and team members, through the facilitation of office organization, administration and communications. 


General secretarial and administrative duties:


  • Screen telephone calls – Handling enquiries, requests and liaising with clients
  • Facilitate communications and manage requests between the JHB and Cape Town offices
  • Monitor and respond to emails
  • Assist in the tendering department and act as liaison for the GT branch in all aspects of tendering including but not limited compilation of tenders and procurement of JV partners/sub consultants.
  • Facilitate the implementation and enforcement of ISO policies and procedures for the GT branch. (Act as liaison with HO to ensure that all records are captured into the ISO System)
  • Plan, organize and co-ordinate meetings and events for the director
  • Assist in welcoming and advising visitors
  • Manage departmental expenses and accounts
  • Manage travel arrangements and itineraries, including flights and hotel bookings, car hire etc.
  • Take minutes and prepare meeting agendas
  • Conduct research and prepare PowerPoint presentations upon request
  • Coordinate the collection of documents for couriers
  • Filing, faxing, printing, scanning etc.
  • Monitor and order stationary
  • Day to day running and management of the office
  • Maintain office systems


Job Requirements:


  • 3-4 Years’ experience as a Personal Assistant. Experience within the construction and property development industry (Preferable)
  • Matric
  • Tertiary Education (Preferable)
  • Fluent in English and Afrikaans
  • IT Literate
  • Good written and communication skills
  • Well-presented and professional
  • Confident and self-motivated
  • Able to display initiative and attention to detail\
  • Able to work in a high-pressure environment
  • Able to multitask and prioritize work
  • Excellent time management
  • Able to adapt to new challenges
  • Able to be co-operative within the existing team dynamic
  • Own car and driver’s license
